Wilderness Campers – Terms and Conditions
These terms and conditions will take precedence over any other stated terms and conditions.

1. Definitions
a. “Wilderness Campers” means Wilderness Campers, 60 Jubilee Way, Countesthorpe, Leicester, LE8 5UB.
b. “Driver” and/or “Hirer” means the person(s) nominated as the driver(s) and/or hirer(s) as indicated in the Rental Agreement.
c. “Campervan” and/or “Camper” means the vehicle being hired as indicated in the Rental Agreement and includes the following as provided by Wilderness Campers:
i. The vehicle itself
ii. Wheels and Tyres
iii. Tools
iv. Accessories
v. Living equipment
vi. Transport and Storage Equipment
vii. Special Equipment
viii. Vehicle Documentation
d. “Rental Agreement” means the document containing the details of the hire, which is signed by the hirer on collection and return of the Campervan.
e. “Reservation Date” means the date upon which the hire commences in accordance with the Rental Agreement
f. “Reservation Period” means the dates for which the hire takes place in accordance with the Rental Agreement

2. Reservations
a. Reservations are booked online through the Wilderness Campers website or by calling directly on the advertised number.
b. A deposit is required at the time of booking save for when the Reservation Date is within 6 weeks of the date of the booking being made. Full payment is due 6 weeks prior to the commencement of the Reservation Date.
c. All prices quoted and charged are in GBP.
d. Payment is accepted via credit or debit card (Visa, Mastercard or American Express).
e. Reservations are confirmed following receipt of full payment or deposit payment.
f. Once a reservation is confirmed our Cancellation Policy will apply, as defined later in this document.
g. Wilderness Campers cannot be held responsible for any banking fees imposed by your bank, including but not limited to: international banking fees, exchange rate fluctuations and charges.
h. The Campervan will not be handed over until confirmation is received that full payment has been made.

3. Hire Period
a. The hire period will be the dates agreed in the Rental Agreement.
b. Rental is charged on a per day basis.
c. Wilderness Campers operate a 3 day minimum hire period all year.
d. Hire is limited to weekends, weekdays and full weeks during high and season. We reserve the right to alter seasons.
e. Collection and return
i. The camper is collected from Wilderness Campers at the agreed time as stated in the Rental Agreement.
ii. The camper is returned to Wilderness Campers at the agreed time as stated in the Rental Agreement.
iii. Wilderness Campers are able to accept individual requests for slight alterations/flexibility but advance notice must be given and agreed.
f. Late return of the Campervan or Camper will incur a charge as indicated in the Security Deposit section of this document.

4. Hire Includes
a. Unlimited Mileage when the duration of hire is 7 days or more. Mileage limits apply for hire periods of less than 7 days, which are published on our website. Fuel is not included; the Campervan is supplied with a full tank of fuel and must be returned as such.
b. VAT at the applicable rate.
c. Fully Comprehensive Insurance covering two drivers – only if they meet the insurance criteria. There may be additional charges set by our insurance company for convictions, claims or other items.
d. Full Breakdown and Roadside Assistance cover
e. Camping equipment as defined in the Campervan section of this document.

5. Hirer / Driver(s) – Insurance
a. Hire includes Fully Comprehensive Insurance for all agreed drivers.
b. Insurance cover does not extend to personal possessions or other personal insurance for individuals.
c. All drivers must be present when collecting the camper, no exceptions.
d. All drivers must satisfy the insurance conditions:
i. are not under the age of 23 or over 75 years of age.
ii. has held a full UK or EU licence for a minimum of two years.
iii. has the entitlement to drive a UK category B vehicle up to 3500kg GMVW.
iv. has a licence to drive manual transmission vehicles
v. has not had their licence suspended for any period within the last three years.
vi. has not been involved in more than one fault incident within the last three years.
vii. has no more than two convictions with a maximum of 3 points per conviction. Spent convictions are not included inline with the Rehabilitation of Offenders Act 1974.
viii. has not obtained a BA, DD or UT conviction
ix. has not had insurance cover declined, cancelled or refused previously.
e. The following occupations are not eligible for insurance
i. Professional Entertainers and Professional Sports Persons
ii. Jockeys and any person connected with said sport.
f. You must notify Wilderness Campers of any endorsements on the licence of any Driver at the time of making a reservation.
g. The following documents must be provided prior to the commencement of the reservation to verify the driver’s identity and validate the insurance criteria:
i. A current, valid, photographic driver’s licence for all Drivers.
ii. Proof of address in the form of two utility bills dated within 3 months of hire.
iii. The Driver’s licence and proof of address documents should contain the same address. Where this is different additional documentation may be requested.
iv. A DVLA check code for UK issued licenses. Failure to provide this may result in your reservation being cancelled.
h. Foreign licence holders must contact Wilderness Campers before making a reservation to confirm the validity of their licence. Should a reservation be made and the licence is deemed invalid our normal Cancellation Policy will apply.
i. Should any disputes arise the decision to provide cover rests with the insurance company.

6. Exclusions
a. The following are excluded from insurance and are therefore the responsibility of the hirer:
i. Mechanical Problems due to Driver negligence
ii. Damage caused by a negligent act
iii. Replacement of aerials, glass, wheels or fixing an incident of incorrect fuelling.
iv. Missing wheel trims, tools or spares.
v. Damage to the underside of the Campervan or extendable sleeping area.
vi. The theft of the camper if keys were left within the vehicle or the vehicle was left unattended.

7. Security Deposit
a. A security deposit is taken to cover any damage, loss or similar to the Campervan or its equipment. The vehicle must be returned in the same condition as it was when the reservation commenced.
b. A security deposit of £500 is payable 5 days prior to the Reservation Date. This must also be cleared by the bank prior to hire.
c. The security deposit is payable by the payment means indicated earlier in this document.
d. Should an incident occur during hire that results in the loss of the security deposit, a further security deposit must be provided to continue hire. Failure to make payment of a further deposit may render the insurance invalid.
e. The security deposit is refundable within 1 week following satisfactory return of the vehicle and following an inspection of its condition. Refunds will be processed within this 1 week period but funds may not clear within this timescale.
f. The security deposit may however be retained pending the outcome of an insurance claim, regardless of fault.
g. The security deposit will be charged and lost in the following circumstances:
i. Insurance Excess – The security deposit forms an insurance excess should any claim be made against the insurance.
ii. Chargeable Fees – If prohibited activity occurs within the vehicle we will charge the related fee as indicated throughout this document.
iii. Loss or damage – Including to the vehicle and/or its equipment; including fixtures, fittings, windows, tyres and extras.
iv. Cleaning – Should the vehicle be returned without being in a clean condition then a cleaning fee will be charged.
1. £150 for general valeting.
2. £250 if smoking has taken place within the vehicle.
3. £300 if the portable toilet and waste tank have not been emptied and cleaned.
4. These charges may be compounded in the event of multiple breaches.
v. Fuel costs – Should the vehicle be returned with the fuel tank below the full mark, a fee of £50 plus fuel costs will be charged.
vi. Late Return – This is charged at one days rental cost. Hirer’s must notify Wilderness Campers if they are to be late to prevent insurance being invalidated.
vii. The Driver and/or Hirer also agrees to pay any additional costs over and above the security deposit should damages or loss exceed the security deposit within 28 days of the end of the hire period.

8. Extras
a. European Cover
i. Campervan Hire from Wilderness Campers includes cover for England, Scotland, Wales and Northern Ireland.
ii. Cover for other European countries is charged as an extra, as indicated on the Wilderness Campers website.
iii. The hirer must notify Wilderness Campers if they intend to travel to Europe and which countries.
iv. Wilderness Campers will provide the necessary insurance and breakdown cover for those countries, and if not possible, will inform the hirer as such.
v. Wilderness Campers will provide necessary equipment to drive in notified European countries; such as warning triangles and breath test devices.
vi. The hirer is ultimately responsible for ensuring the local traffic laws of each country visited are complied with.
b. Additional Drivers
i. Two Drivers are included within our standard price.
ii. Additional Drivers can be added for a fee as indicated on our website.
iii. Additional drivers will be subject to the same insurance conditions and document requirements as the main Driver.

9. Use of the Campervan
a. Driving standards
i. The vehicle will be driven in a cautious, alert, considerate and normal manner.
ii. The Drivers will at all times drive within the bounds of legislation for the country they are within.
iii. The vehicle will not be driven in prohibited areas.
iv. The vehicle will not be driven when the Driver is under the influence of alcohol or drugs.
v. The vehicle will only be driven by named Drivers on the Rental Agreement.
vi. The vehicle will only be driven by those persons legally entitled to do so.
vii. No persons are carried in the vehicle unless using a proper seat along with its safety restraint.
viii. The vehicle will be attended at all times when the key is within the ignition or when the vehicle is unlocked.
ix. The vehicle will not be submerged in water or otherwise exposed to salt water.
x. The vehicle will not be used for:
1. Illegal purposes; including but not limited to racing, rally or contest.
2. Towing a trailer.
3. Transporting dangerous goods; volatile liquids, gases, explosives or other corrosive or inflammable material.
4. Carrying passengers for hire and/or reward.
b. Reasonable care – At all times the Hirer, Drivers and all occupants of the vehicle must exercise reasonable care and consideration for the vehicle and its contents.
c. Smoking is strictly prohibited in the vehicle and will attract a charge should this occur.
d. Naked flames are strictly prohibited in the vehicle; including the use of lighters, candles and other such items. The only exception is the integrated gas hob that is permitted for cooking use only.
e. Pets and animals, other than dogs by prior agreement, are strictly prohibited from using the vehicle and will attract a charge should this occur.
i. The carriage of dogs will additionally be subject to the following requirements, which if not adhered to may result in the loss of the security deposit
1. Blankets and/or sheets must be placed over the seating and bedding areas of the Campervan.
2. Dogs must never be left unattended in the Campervan
f. Festivals – Hire for festivals is forbidden unless pre-agreed by Wilderness Campers.
g. ISOFIX safety features – Wilderness Campers does not provide any guidance on the fitting of ISOFIX devices to the Campervan. Wilderness Campers accept no liability for any incidents involving the use of the ISOFIX system and the hirer is responsible for ensuring its correct legal use and compatibility with their child seat.
h. Additional reasonable restrictions on the use of the vehicle may be implemented at any time by Wilderness Campers.

10. Breakdown and Maintenance
a. 24 hour Breakdown and Roadside assistance.
b. All faults or damage to the Campervan must be reported to Wilderness Campers as soon as possible, but no later than 24 hours after it has been noticed or incurred. This should be by telephone.
c. The Driver will take reasonable care of the vehicle whilst it is under hire. This includes, but is not limited to, checking coolant and oil levels, tyre pressures and tread depth, batteries and lights.
d. Liability is with the Driver if the incorrect fuel is used. The vehicle runs on diesel.
e. Repairs can be authorised by the Hirer and/or Driver without approval to the maximum value of £50. A receipt must be presented for any repairs undertaken.
f. Expenditure to the value of £50 is also pre-authorised for the Hirer and/or Driver to fix reasonably incurred minor defects such as light bulbs. A receipt must be presented for reimbursement. This does not extend to covering costs associated with damage caused by the Hirer and/or Driver.

11. Accidents, Collisions and Criminal Acts
a. Should an accident, collision, incident or criminal act occur involving the camper, the following will apply:
i. The Hirer must notify Wilderness Campers as soon as possible, and no later than 24 hours after, of an accident or incident occurring; regardless of fault.
ii. The Hirer must obtain the name, address and contact details of all third-party witnesses.
iii. The Hirer must obtain the name, address, contact details, vehicle registration and insurance details of any other vehicle involved.
iv. The Hirer must inform the police of the accident or incident inline with the law of the country they are within.
v. The Hirer must complete the accident/incident report found within the rental agreement.
vi. No admittance of liability should be made by the Hirer and or Driver, nor any offer to settle claims.
vii. The Hirer will assist Wilderness Campers in the resolution of any claim or investigation.
viii. The Hirer acknowledges the security deposit is retained pending the outcome of an insurance claim, regardless of fault.
b. Where criminal enquiries relate to the Campervan during the Rental Period, Wilderness Campers will assist the relevant authority with the investigation and the Hirer will also assist as necessary.

12. Traffic Laws and Regulations
a. The Hirer is responsible for all charges, fees, fines, taxes and penalties relating to:
i. Toll Roads, Bridges and similar entities
ii. Traffic offences
iii. Parking tickets
b. The Hirer shall be responsible for any other penalties and/or fines issued throughout the Rental Period.
c. Wilderness Campers will notify the relevant authority of the Hirers details when required to do so and will also notify the Hirer that such a request was made.
d. Wilderness Campers reserves the right to charge a fee of £20 for processing the necessary paperwork relating to charges, fees, fines, taxes and penalties. This fee is applicable to each item processed.

13. Changes to bookings
a. Any changes of bookings must be notified by e-mail or letter to Wilderness Campers.
b. Amendments to booking dates will result in a re-evaluation of the total price and availability; Hirers will not be able to amend the booking without making any necessary additional payments to cover price differences.
c. Should the new booking result in a lower total price, no refund is given.

14. Cancellation of bookings
a. Wilderness Campers
i. Whilst Wilderness Campers aims to honour all bookings, sometimes we may need to cancel them. The following are situations in which we reserve the right to cancel bookings before, at the time of, or during a booking:
1. The required documentation is not provided as outlined in the Insurance section.
2. The insurance conditions are not met by any of the named Drivers.
3. For UK Drivers: If the check code is not provided from the DVLA.
4. The security deposit is unpaid.
5. The total balance is not paid 6 weeks prior to the Reservation Date.
6. Any payments are declined or reversed by the payment provider.
7. There are too many occupants in the vehicle.
8. There is difficulty in verifying the hirers or driver’s identification.
9. There is a fault or problem with the vehicle.
10. The Hirer breaches any part of this agreement.
11. The vehicle was obtained through fraud or misrepresentation.
12. Information is received from the authorities indicating the vehicle is being used in an irresponsible manner or unlawfully.
13. There is a concern for the welfare, health or suitability of the Driver.
14. Any information furnished by the Hirer and/or Driver is incorrect.
15. The vehicle appears abandoned.
16. The vehicle has been damaged, regardless of fault.
17. The vehicle is not returned as agreed or Wilderness Campers suspect it will not be returned as agreed.
ii. Refunds will be made as soon as practicable following the cancellation.
iii. Refunds are limited to the provision of the Campervan only. For example; refunds would not be made for associated bookings such as flights, tickets etc unless booked by and through Wilderness Campers.
b. Driver/Hirer
i. In the event of cancellation by the Hirer the following will apply:
1. Failing to collect the Campervan (no show): 100% of the total charge.
2. 4 weeks prior to rental: 100% of the total charge.
3. 6 weeks to 4 weeks prior to rental: 50% of the total charge.
4. Greater than 6 weeks prior to rental: the £150 security deposit.
ii. The above cancellation fees are at the discretion of Wilderness Campers and will only be waived for exceptional circumstances where documented evidence is provided of the said circumstances.
iii. Refunds will not include transaction fees.
iv. Hirers should ensure they have adequate travel insurance that covers the cost of cancellations.

15. Complaints
a. Initially complaints should be made on the return of the Campervan where an agreed action plan is set.
b. If the complaint is not satisfied at this stage an e-mail should be directed to hello@wildernesscampers.co.uk within 14 days of the Campervans return. Complaints will be investigated and responded to within 14 days.

16. Privacy
a. The hirer accepts being bound to our Privacy Policy which is available on our website or on request.r
